The MS Exchange Extension

Scheduling calendar events like service calls and to-dos in Autotask is required for them to appear on the dispatch calendar.

However, for most users, the Autotask calendar is not their only, or even their primary calendar. But if you attempt to manage your schedule using more than one calendar, you are bound to be double-scheduled and miss appointments and meetings.

The MS Exchange extension solves that problem. For details on how appointments, to-dos, service calls, and contacts are synchronized, refer to How MS Exchange items are synchronized.

The MS Exchange extension automatically synchronizes contacts and calendar items between Autotask and your MS Exchange server, and any applications connected to it (Outlook, mobile devices Your Autotask instance may be configured to use one of the following terms instead: Asset, Configuration Item, Installed Asset, Installed Product., etc.). There are no add-on components or agents to install. Contacts, appointments, to-dos, and service calls flow from Autotask to Exchange, and appointments scheduled on Exchange flow to Autotask.

Autotask administrators entirely control the scope of the synchronization. They select

  • the frequency of the synchronization (minimum is 10 minutes)
  • the users who will be able to synchronize calendar items and contacts between Autotask and Exchange
  • the types of calendar items that are transferred from Autotask to Exchange and from Exchange to Autotask
  • (if using the EWS API) if and where to create a public folder of all Autotask contacts

The following versions of Microsoft Exchange Server are supported for both on-premises and hosted MS Exchange:

  • MS Exchange 2013, 2016, and 2019 on Windows with latest Service Pack
